Overview

At Houston Methodist, the Mail Clerk position is responsible for preparing and delivering mail throughout the Houston Methodist System. This position is accountable for ensuring accuracy and completeness through attention to detail. The Mail Clerk position performs a variety of clerical tasks, ensuring that accountable deadlines are met in a timely and professional manner. This position must be able to communicate appropriately and work closely with other staff and co-workers.

Responsibilities

PEOPLE ESSENTIAL FUNCTIONS
  • Communicates clearly, professionally, positively and effectively with staff and coworkers in a courteous, friendly and helpful manner. Receives and screens telephone calls in a professional and courteous manner and handles general inquiries. Takes complete messages with accurate date, time, name, number and information which includes determining the nature of each call and prioritizing.
  • Interacts positively and effectively with internal and external customers. Promotes a positive image of the department and Hospital through verbal and non-verbal communication with all persons and complies with personal appearance guidelines.
  • Makes appropriate customer service decisions with problem-solving, setting and communicating delays. Provides contributions towards improvement of department scores for turnover/retention/employee engagement, i.e. peer-to-peer accountability.

SERVICE ESSENTIAL FUNCTIONS
  • Prepares mail for delivery throughout Houston Methodist. Follows up on action items to ensure completion of assignments.
  • Performs a variety of administrative tasks and duties specific to department, which may include preparing documents, accessing information, etc.
  • Holds accountability for ensuring accuracy and completeness through attention to detail. Maintains department record systems to uphold accurate files.
  • Contributes towards improving department scores for patient satisfaction/experience through peer-to-peer accountability and providing timely mail deliveries/pick-ups.

QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Weighs and rates mail accurately.
  • Perform deliveries in a timely manner, accurately and efficiently.
  • Participates in performance improvement activities to support department/entity goals. Contributes towards improving department quality and safety scores through peer-to-peer accountability.

FINANCE ESSENTIAL FUNCTIONS
  • Uses resources efficiently; does not waste supplies. Maintains a well-stocked and organized work area. Assists with routine equipment troubleshooting such as paper jams, ink cartridge replacement, etc.
  • Self-motivated to meet the standards of the Houston Methodist attendance policy, independently managing time effectively and prioritizing daily tasks, minimizing incidental overtime. Meets labor productivity standards by effectively managing established daily responsibilities and assignments.

GROWTH/INNOVATION ESSENTIAL FUNCTIONS
  • Offers innovative solutions through participation in performance improvement projects and activities. Completes and updates My Development plan on an on-going basis, including the development of advanced skills. Ensures own career discussions occur with appropriate management.

Qualifications

EDUCATION
  • High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)

WORK EXPERIENCE
  • Previous clerical experience preferred

License/Certification

LICENSES AND CERTIFICATIONS - REQUIRED
  • DL - Driver License - State Licensure
