Overview

At Houston Methodist, the Senior Creative Services Traffic Coordinator position is responsible for is responsible for the traffic flow, from inception to completion of incoming creative projects from various internal clients at Houston Methodist (HM). This position will be especially responsible for independently driving all high priority incoming creative projects, including campaigns, large sponsorships, executive-level needs, etc. The Senior Creative Services Traffic Coordinator position will ensure every project request meets all requirements to produce work as well as coordinate internal and external deadlines. This position will use network servers and workflow management tools to distribute assignments and tasks across marketing to designers, copywriters and digital staff. This position will facilitate meetings with creative and digital staff, update status reports for marketing and creative management and executives as needed. The Senior Creative Services Traffic Coordinator position serves as a subject matter expert for the trafficking team. This position encourages collaboration among team members, offers insight into operational direction, troubleshoots issues and problem-solves when necessary, working proactively to help both the team and stakeholders achieve goals and meet objectives. This position also serves as a mentor and supports the training and onboarding of new staff.

Responsibilities

PEOPLE ESSENTIAL FUNCTIONS
  • Maintains a customer-focused perspective, involving effective communication, creative problem solving and approachability in all situations.
  • Serves as the point person for any questions regarding project workflow, job status and deadlines.
  • Acts as a liaison within the creative and digital teams, managing timelines and schedules to ensure that requests are realistic and delivery dates are met for creative-related projects.
  • Serves as a subject matter expert and mentor to trafficking team. Supports the training and onboarding of new team members.

SERVICE ESSENTIAL FUNCTIONS
  • Assigns project tasks to in-house creative staff and digital teams. Plans and distributes weekly and daily creative services weekly and daily workflow for all marketing projects systemwide.
  • Schedules project kick-off meetings. Monitors volume, creative project schedules, tracks and monitors progress.
  • Collaborates across marketing to ensure creatives services workflow is maintained and milestones are met.
  • Takes responsibility and independently drives all high priority incoming creative projects, including campaigns, large sponsorships, executive-level needs. Etc.

QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Conducts production meetings with service line, creative and digital teams to ensure that projects are on track and produced to Houston Methodist brand and quality guidelines.
  • Maintains project timelines by assigning creatives services materials, setting priorities and routing all requirements to appropriate staff members to ensure that materials are produced with accuracy and on time.
  • Communicates processes, workflows and policies to stakeholders to ensure efficiency and standardization. Offers insight into operational direction, troubleshoots issues and problem solves when necessary. Works proactively to help both the team and stakeholders achieve goals and meet objectives.

FINANCE ESSENTIAL FUNCTIONS
  • Partners with outside vendors to obtain cost estimates as needed.
  • Utilizes resources effectively and efficiently, demonstrative responsible financial stewardship. Manages own time effectively and prioritizes work to achieve maximum results in a timely manner.

  • Proactively addresses challenges by identifying solutions and communicating effectively to all key stakeholders.

Qualifications

EDUCATION
  • Bachelor's degree in marketing, communications or related field

WORK EXPERIENCE
  • Six years experience in marketing operations to include four years of marketing related project management
