Overview

At Houston Methodist, the CTSA Program Project Manager (Clinical and Translational Science Awards Program) position is responsible for the overall program management support for all elements of the CTSA grant to ensure continuity across the program. This role will oversee the development of operational data collection and reporting surveys such as REDCap for CTSA service utilization, i.e., the GGCTSA (Greater Gulf Coast Translational Science Alliance) registration and tracking system.

The CTSA Program Project Manager will work closely with administrative counterparts at each of the GGCTSA institutions and will serve as a member of the Operations, Hub Liaison, and Administrative Teams, and will participate in planning annual retreats. Additionally, this position will provide program/project management support for the companion K12 and R25 applications. This position serves as a resource in facilitating the implementation and/or rollout of initiatives and tracks to ensure implementation is meeting scheduled milestones.

Responsibilities

PEOPLE ESSENTIAL FUNCTIONS
  • Coordinates face-to-face discussions between collaborators to encourage effective transfer of ideas and records. Develops and maintains positive working relationships to ensure that collaborators are informed of modifications, updates, and improvements to projects in a timely manner.
  • Serves as an effective liaison between multiple client groups and stakeholders across various levels of management. Communicates results clearly and concisely and provides progress reports in an organized, consistent manner.
  • Contributes towards improvement of department scores for employee engagement, i.e. peer-to-peer accountability.

SERVICE ESSENTIAL FUNCTIONS
  • Assists in the preparation and coordination of business development materials and activities for the program. Supports ongoing outreach, pilot programs and project management activities of the department's major projects/grants.
  • Assists in writing SOP's and other regulatory requirement documentation.
  • Understands project objectives, information and ideas presented and delineates plans to achieve deliverables in a specific, measurable, attainable, relevant, and timely manner to assist the program and its project goals.
  • Provides careful coordination with internal ancillary offices such as technology transfer, legal, grants and contracts, and business practices.

QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Maintains organized records of successful collaborative projects and participants for all disciplines related to the department/project to be readily available to leadership as well as reporting purposes.
  • Ensures quality and timely execution of project deliverables.
  • Coordinates multiple deadlines related to project scope, requiring resources including but not limited to reports and presentations. Thoroughly tracks all metrics related to activities and maintains associated paperwork, files and calendar documentation.

FINANCE ESSENTIAL FUNCTIONS
  • Manages and maintains project-relevant information and documentation needed from project conception to completion as well as maintaining regulatory and milestone (financial) records as required for each study.
  • Utilizes resources with cost effectiveness and value creation in mind. Self-motivated to independently manage time effectively and prioritize daily tasks, assisting coworkers as needed.

GROWTH/INNOVATION ESSENTIAL FUNCTIONS
  • Seeks opportunities to identify self-development needs and takes appropriate action. Ensures own career discussions occur with appropriate management. Completes and updates the My Development Plan on an ongoing basis.

Qualifications

EDUCATION
  • Bachelor's Degree in a related field
  • Master's preferred

WORK EXPERIENCE
  • Three years of experience related to business or healthcare administration; may consider HM employee with two years of experience who demonstrates progressive responsibilities
